1. Introduction
The purpose of this policy is to establish Mentor Technology's use and management of personal information provided to it or collected by it. In the normal course of its business Mentor Technology will receive and gather private and personal information and is committed to maintaining the privacy of this information. This extends to all information relating to its employees, suppliers and clients whether the information is stored in computerised or written form. This policy also covers the use, access, securing and dissemination of all information obtained.
All reasonable steps will be taken to ensure personal information stored is accurate, complete and up to date.
2. Intended Outcomes
Adoption of this policy will ensure that all information and data obtained by Mentor Technology during the course of its business will be kept securely and access to this information will be strictly controlled. The professional manner in which information is handled will help to ensure that Mentor Technology is respected by its clients and business contacts.
3. Beneficiaries
All parties with any relationship with Mentor Technology - by making them feel assured that information provided will remain private and used only for the purpose(s) expressly defined at the time of receipt. This will be displayed in a Privacy Statement at the point of gathering the information.
4. Relevant Processes - Implementation Guidelines
Mentor Technology will adhere to the following protocol in relation to the privacy of all information held:
4.1 Disclosure
Any information required by Mentor Technology will be requested together with a full disclosure of a Privacy Statement. Depending on the nature of the information gathering exercise, the Privacy Statement issued may vary in its terms. The information will be gathered from the individual or company with that individual's or company's consent.
Personal information will not be shared, sold or given to any third parties outside of the Privacy Statement terms without consent, unless required or authorised under the exemptions set out in the Privacy Amendment (Private Sector) Act 2000.
Information gathered may be used by Mentor Technology for its own purposes subject to disclosure in the Privacy Statement at the time and point of gathering the information.
As a general principle, individuals will be given access to their personal information and allowed to correct it or explain something with which they disagree, unless disclosing this would have an unreasonable impact on someone else's privacy. This principle is subject to exemptions such as if this disclosure would compromise a fraud investigation.
5. Information Storage
All reasonable steps will be taken to restrict access to information, both in computerised and written form to duly authorised personnel. This will extend to all information backed up and stored off-site.
Access to all information relating to Mentor Technology employees, suppliers and clients will be controlled and monitored by a designated Privacy Manager.
Employees will be inducted with the content of this policy and it will form part of the annual staffing review.
6. Information Use
The use of all information or data gathered by Mentor Technology will be in strict accordance with the purpose for which it was obtained (as expressed in the Privacy Statement at the time and place of collection) unless prior consent has been received by the relevant party to use the information for other purposes.
All use of information will be monitored and restricted only to duly authorised Privacy Manager.
Student information will not be disclosed to a third party without written consent first being obtained from the student, except where required by law.
